Before anything is written, we read the tender in full. This is not to answer the questions. It is to understand what the buyer is actually trying to solve. We identify the evaluation criteria and the weightings. We also identify the unstated anxieties the response needs to address.

This is where the win theme is agreed. Nothing is written until it is.

Lay the foundations

Strategy without structure fails. We agree the bid plan and set the timeline. We confirm roles. We issue a structured content request list before a word is written. The foundations determine whether the engagement runs smoothly or burns time in the final days.

Execute with discipline

We write. We incorporate content and align voice. We tailor every answer to the evaluation criteria, not to what the client wants to say. We deliver the first draft seven days before close. At that point, the client's job is to fact-check, not to rewrite.

We check in at least weekly. More often as close approaches.

We incorporate feedback. We finesse the win theme throughout the document. We tighten the language. The client has live access to the document from this point. Shape it early. We do not include late rewrites after this phase.

This is where a good response becomes a strong one.

Refine to submission

We deliver the final draft three days before close. The final check is a submission-ready confirmation, not a drafting session. There is no redrafting at this point. We aim to lodge the day before close, not on closing day.

Sue Findlay has been writing tender responses since 2003. Before that, she was on the other side of the table. She led government procurement and sat on evaluation panels. She scored the responses that businesses like yours were submitting.

She knows what evaluators are looking for because she still is one. Through her sister company, Procurement Associates, she evaluates tenders today.

BidBuddy was formally established in 2013. It built on a tender writing and procurement consulting practice Sue began after leaving government in 2003.
